Terms of Use for users of RIDOC CMARS

This User Agreement becomes effective upon Rhode Island Department of Corrections (RIDOC) approval and continues until terminated by either the RIDOC or the user. Following approval, the user will receive a unique CMARS User ID from the RIDOC.

By signing this agreement, the user acknowledges and agrees to abide by the following Terms of Use governing CMARS access and use:

CMARS is provided as a service by the RIDOC for use only by authorized personnel for official criminal justice purposes. Use of the system for personal, private or other reasons is strictly prohibited.

Access to CMARS and its contents is contingent upon acceptance of and adherence to these Terms of Use in the capacity of an employee of the agency under which usage was authorized. If the user is no longer employed by said agency, access and permission are no longer granted or warranted.

The CMARS User ID is for the exclusive use of the assigned user and will not be shared, transferred, or used by anyone else.

The user assumes full responsibility for all activity taken under their assigned CMARS user ID and agrees that any actions taken will be deemed to have been performed by the user.

Information obtained through CMARS is confidential. It is protected under applicable state and federal confidentiality laws.

Access is provided on an “as is” basis. The RIDOC makes no claims, guarantee of accuracy, currency, or completeness of information within CMARS and is not responsible for errors, omissions, or results obtained from its use. Users are responsible for verifying information prior to reliance or dissemination.

The user agrees to refrain from or permit directly or indirectly distributing, sharing, or storing CMARS data, records, or other materials outside of authorized purposes, and will not maintain such information in any searchable database or external system.

The user must immediately notify CMARS Support of any unauthorized use or suspected security breach at doc.CMARS@doc.ri.gov.

The RIDOC reserves the right to immediately suspend or terminate user access without prior notice for any reason, including, but not limited to violation of Terms of Use, unauthorized use, or suspected security breach.

The user may terminate this agreement upon thirty (30) days’ written notice to the RIDOC, stating the reason and the effective date.

Systematic audits of usage will be conducted to monitor compliance and detect any improper access, use, or dissemination of information.

If the user leaves employment or changes positions, it is the responsibility of the Agency supervisor to immediately notify doc.CMARS@doc.ri.gov.
